Hogan & Associates Construction is a medium sized commercial contractor located in the Intermountain West. Hogan has experience managing a vast array of commercial projects including schools, office buildings, city halls, visitor centers, art centers and more. As part of an overall strategy of reducing costs through better internal efficiencies, Hogan chose Digital Business Integration (DBI) to streamline their weekly payroll process and provide real time reporting capabilities to remote locations.
Like many construction companies, Hogan & Associates Construction job costs their weekly payroll data. They rely on Timberline Office construction accounting software to manage all their job cost data. The former payroll process included printing out job specific time cards for each job to fill out in the field. These cards were then faxed in on a weekly basis, checked for errors, and manually typed into Timberline's Payroll module for each of Hogan's 200 employees.
“It was more than a full-time job for our Payroll Manager to keep up with all the manual data entry,” says Blake Davis, Hogan's VP of Finance. “We often enlisted the help of others to get it all in the system on time every week. There were inherent problems with faxing in hand-written timecards that made our payroll process a constant agitation involving half the company.”
After adopting DBI's hh2 Remote Payroll service, Hogan & Associates now spends a fraction of the time processing payroll every week. Payroll data is gathered on-site and at remote locations through a fully hosted website that synchronizes its job cost data from Timberline automatically. After moving through a customizable approval process, the data is imported directly into Timberline.
“We don't have to waste time deciphering and keying in faxed timecards into Timberline anymore,” Blake continues. “Another benefit is hh2 Remote Payroll cut our annual payroll audit costs in half.”
As a result of Hogan's new payroll process, the Payroll Manager was able to get their job done in about half the time, allowing for more value add activities to be accomplished by that position. Online comments alleviate the need for many of the phone calls required before, and real time reporting allows both office staff and field supervisors to answer many of their own questions and to be held accountable for their labor expenses.
“We have used their product for over five years now, and we can't imagine going back.” concludes Blake. “It's stable, works great, and allows us to focus our time on more important things.”
