 1. Getting Started

AP Payments is the hh2 mobile app for capturing receipts and invoices, coding them to the right jobs and cost codes, and moving them through your company's approval workflow, from the job site or the back office. Here's what people ask most when they first open it.

What is the new AP Payments mobile app?

It's the redesigned mobile and tablet app for capturing receipts, reviewing invoices, coding costs, and moving payments through approval. It replaces the old AP Payments app with a faster, cleaner interface.

Do I need to create a new account?

No. Sign in with the same hh2 credentials you already use. Your organization, role, and existing data carry over.

What devices does it run on?

Phones and tablets, on both iOS and Android. The app works the same way on every device, so help from a coworker on a different phone or tablet still applies.

I belong to more than one organization. Will that still work?

Yes. If you have access to more than one hh2 organization, you'll confirm which one you're working in after you sign in, and you can switch between them from the drawer.

What is my identifier?

Your identifier is the unique name your company chose when it signed up for hh2 Web Services. You'll find it in your company's hh2 web address, for example http://new.youridentifier.hh2.com/.

Why is the app downloading data when I first sign in?

The app is syncing your organization's data, vendors, jobs, and cost codes, so everything is ready to use. If your company has a lot of data, this can take a few minutes.

Do I have to wait for the sync to finish?

No. When there's a lot to download, you can choose to stay and watch it finish, or let it keep going in the background while you start working.

ℹ️ Good to know

To check on a background sync, open the drawer, tap Settings, scroll to the bottom, and look under Downloads for the current status.

Why can't I find the cost code I'm looking for?

Each sync can bring over 1,000 records per category, so on your first setup you may need to sync more than once before every cost code shows up. You can also search for the code you need. That search triggers a sync that brings it over right away.

 


2. Navigating the App

You move around the app from the drawer. Tap your avatar in the top-left corner of any screen to open it.

How is the app organized?

The drawer lists every destination in the app: Invoices (review and act on invoices), Receipts (capture and manage receipts), Import Documents (bring in documents from your device), Distribution Worksheet (batch coding and approval on tablet), and Help and Settings, plus your account switcher.

⚠️ Important

If you work across more than one hh2 organization, the account switcher at the top of the drawer is where you flip between them. Each organization has its own invoices, jobs, and vendors, so confirm you're in the right one before you start capturing or coding.

How do I find a specific type of invoice?

Use the filter chips at the top of the Invoices list: All, In Progress, On Hold, and Approved. Each chip shows a live count, so tap one to narrow what you see and tap it again to clear the filter.

Where is the Distribution Worksheet?

Open the drawer and tap Distribution Worksheet. It's built for tablet. On a phone, you'll code your distributions inside the receipt or invoice flow instead.

Where do I find a feature that moved?

Some screens moved in the redesign. Open the drawer, tap Help, and search for the feature by name to find its new location.

 


3. Capturing Receipts

Every capture starts from the + menu at the bottom of the Receipts screen.

How do I capture a receipt?

Open the drawer and tap Receipts. Tap the + menu at the bottom of the page and choose Camera, Photo Library, or Import From Files. Take or select the photo, then confirm the receipt details, or tap Auto-OCR to let the app read the image and fill in what it can. Set your distributions and submit.

📝 Note

Auto-OCR is fast, but it isn't perfect. Always double-check the amount before you move on.

What is a Quick Receipt and when should I use one?

A Quick Receipt is the fastest way to get a receipt into the app when you're on the move. Snap the photo, capture the essentials, and finish coding it later.

How do I create a Quick Receipt?

Open the drawer and tap Receipts, then tap the + menu at the bottom of the page and choose Quick Receipt. Take the photo and save.

📝 Note

Quick Receipts lives in the + menu at the bottom of the Receipts screen, not as a floating button in the corner.

Can I capture a receipt without a signal?

Yes. You can capture and code receipts offline. They save to your device and sync automatically once you're back online. It's normal for the confirmation to appear only after the upload finishes.

 


4. Coding with the Distribution Wizard

The Distribution wizard is how you code an invoice or receipt to the right jobs and cost codes. It walks you through one distribution line at a time, instead of one crowded screen.

Where do I find the distribution wizard?

From an invoice, open the Dist. tab and add a new distribution line. From a receipt, add a distribution line to open the wizard.

How do I add a distribution line?

Tap the + on the distribution screen to start a new line. The wizard walks you through five steps: Job, Cost Code, Category, Amount & Tax, and Review. A Remaining after this line figure updates as you type, so you always see what's left to distribute.

How do I split an amount across more than one line?

Add a line for each portion. The distribution screen shows a running total with a Balanced indicator when your lines add up to the full amount, or Off by the difference when they don't. Tap the + to add another line.

⚠️ Important

Auto-balance has been removed, so there's no button that splits an amount evenly across lines for you. Watch the Remaining after this line figure on the Amount & Tax step, or type the amounts you want and confirm they add up on the Review step.

 


5. Reviewing and Approving

Supervisors review and act on items routed to them from a single queue.

Where do I review items waiting on me?

Your pending items collect in one place, so you can review, approve, reject, hold, route, or dispute them from a single queue.

Can I approve more than one item at a time?

Yes. Select multiple items and act on the whole selection at once instead of handling them one by one.

What can I do with an item in my queue?

Depending on your role and your company's workflow, you can approve it, hold it, reject it, route it to someone specific, or dispute it if something on the document doesn't match your records.

How do I take an item off hold?

There's no separate release button. A held item comes off your On Hold list when you route, approve, or reject it, or when an admin or manager acts on it for you.

 


6. Switching from the Old App

Why does the app look different?

It's been fully redesigned for speed and clarity. The tasks you did before are still here, and many are faster now, but some screens have moved. Search in Help to find where something went.

Did any of my data change?

No. The redesign changes how the app looks and works, not your records. Your history, invoices, and receipts are intact.

 


7. Need Help?

Your hh2 administrator at your company is your first point of contact. They set up jobs, vendors, cost codes, and workflows, so they can fix configuration issues fastest.

For questions specific to a feature:

  • Permissions, missing jobs, vendors, or cost codes: contact your company's hh2 administrator.
