Review Time Sheets for Compliance
Once time sheets reach the Payroll Manager's approval level, Vyki reviews them against Federal and State regulations. She surfaces issues before they become payroll problems.
Review Time Sheets for Overtime Problems
Once time sheets reach the Payroll Manager’s approval level, Vyki reviews them against federal and state overtime rules. She catches problems before they become payroll problems, and tells you which rule triggered each one.
What Vyki checks
Federal overtime (FLSA). Anything over 40 regular hours in a workweek is overtime at 1.5×. This applies everywhere.
State daily and double time rules. Several states go past the federal standard. Vyki applies the rule for the state where the work was performed:
|
State |
Rule Vyki applies |
|
California |
1.5× after 8 hours in a day. 2× after 12 hours in a day. On a 7th consecutive workday, 1.5× for the first 8 hours and 2× after that. 1.5× after 40 hours in the week. |
|
Alaska |
1.5× after 8 hours in a day. 1.5× after 40 hours in the week. |
|
Colorado |
1.5× after 12 hours in a day, under the COMPS Order. This triggers even if the week totals under 40 hours. 1.5× after 40 hours in the week. |
|
Oregon, public works |
On prevailing wage projects, overtime after 8 hours in a day under Little Davis-Bacon, even if the week totals under 40 hours. |
|
All other states |
The federal FLSA standard: 1.5× after 40 hours in the week, with no daily threshold. |
Two rules that shape every result:
- Hours are only counted once. If hours already qualified as daily overtime, they don’t count again toward the 40-hour weekly threshold. Vyki does not double-count.
- The strictest rule wins. Where a state rule and the federal rule overlap, Vyki applies whichever produces more overtime.
Multi-state work. Vyki applies the rule of the state where the work was performed, not where the employee lives. If someone works across a state line mid-project, each state’s rules apply to the hours worked on that side. Vyki checks each job location separately.
What Vyki does not check
- Local or municipal ordinances. Vyki works at the federal and state level.
- Union and collective bargaining agreement rules. Trade agreements can set their own thresholds, shift differentials, and consecutive-day premiums. Vyki does not evaluate them.
- Meal and rest break rules, and she does not calculate break premiums or penalty pay.
- Canadian provincial rules.
Vyki flags, you decide
Vyki tells you what her rules found and which rule fired. She will not tell you which state’s law legally governs a given employee, or whether your company is required to apply a rule. Those are legal questions, and she’ll point you to the relevant state labor agency or your employment attorney instead.
Your company owns its compliance determinations.
How to do it
- Ask Vyki for an overtime summary.
- “Summarize overtime issues on this week’s time sheets.”
- “Show me any overtime errors for the pay period ending June 6.”
- “Which time sheets have overtime flagged but no manager note?”
- Review the results. Vyki returns a list of issues with the specific rule that triggered each one, in plain language, not just a flag.
- Take action. For each issue you can ask Vyki to fix it, or handle it manually in hh2.
Asking Vyki to explain a flag
If a flag isn’t clear, ask:
-
“Why did you flag Maria’s time sheet?”
-
“What rule triggered that overtime issue?”
Vyki names the rule she applied and explains what needs to change.
