Troubleshooting

Every action Vyki takes is recorded. This section explains what's logged, where to find it, and how long it's kept.

The Vyki Chat Window Is Not Showing Up

Check the following:

  • You are on a Time Tracking page (Time Sheet, Time Record Entry, or Time Approval). Vyki is not available on other pages.
  • Your hh2 role is set to Payroll Manager. Vyki's chat window is only visible to Payroll Managers.
  • Try refreshing the page. The chat widget loads with the page.
  • Auto Notify is enabled in Time Tracking Settings.
  • The employees or managers you expect to receive notifications have a valid phone number or email address on their hh2 user record.
  • The notification window has been reached. Vyki sends notifications at four scheduled points in the pay cycle, not continuously.
  • The time sheet may already be complete or approved. Vyki skips notifications that no longer apply.

If the issue persists, contact your administrator to verify your role assignment.


Vyki Says She Cannot Update a Time Sheet

Vyki will tell you exactly why she stopped. The most common reasons:

You don't have access to that time sheet

Request access from your administrator.

The time is above your approval level

Escalate to the appropriate approver, or ask your admin to adjust your approval level.

You don't have edit permission

Contact your administrator to update your permissions.

The Approval Group doesn't have access to that coding

Ask your admin to add the cost code or job to the relevant Approval Group.


Vyki Gave Me an Answer That Looks Wrong

Ask Vyki to explain her work:

"Where did those numbers come from?"

"Which time sheets did you use to get that total?"

Vyki cites the underlying time sheets she read. If the data still looks off, start a New Chat to clear her session context:

  1. Click the three dots in the upper-right corner of the Vyki panel.

  2. Select New Chat.

This clears any context Vyki is holding from the current session without deleting your audit log.


A Response Was Cut Off

Vyki streams responses in real time. If the connection drops mid-stream, ask her to continue:

"Please continue where you left off."

"Repeat that last response."

Your conversation history is preserved even if the stream was interrupted.


Vyki Applied a Change I Did Not Intend

Every action Vyki takes is logged in the audit log and can be reversed the same way a manual hh2 change is reversed.

  1. Ask Vyki to undo the change.
    "Undo the last change you made." If you have the permissions, Vyki reverts it and logs the reversal.

  2. If Vyki can't reverse it, make the correction manually in hh2.

  3. Submit feedback to the Product team using the Feedback button in the top-right corner of the Vyki panel.


Vyki Is Not Sending Notifications

Check the following:

  • Auto Notify is enabled in Time Tracking Settings.
  • The employees or managers you expect to receive notifications have a valid phone number or email address on their hh2 user record.
  • The notification window has been reached. Vyki sends notifications at four scheduled points in the pay cycle, not continuously.
  • The time sheet may already be complete or approved. Vyki skips notifications that no longer apply.

Approval Group

The hh2 setting that controls which cost codes, jobs, and projects a user is allowed to interact with. Vyki respects Approval Group boundaries on every action.

Audit Log

The permanent record of every action Vyki took — what changed, for which employee, when, and why. Visible to administrators.

Auto Approve Time

Automation setting that allows Vyki to automatically approve compliant time sheets on the Payroll Manager's behalf.

Auto Correct Time

Automation setting that allows Vyki to automatically update time entries to bring them into compliance with federal, state, and local rules.

Auto Notify

Automation setting that allows Vyki to automatically send missing time and approval reminders at scheduled points in the pay cycle.

Compliance Check

Vyki's review of a time sheet against federal, state, and local labor regulations. Vyki will not approve a time sheet that fails a compliance check.

Intent

What you are trying to accomplish, as understood by Vyki's reasoning engine. Vyki determines intent from plain-language requests before taking any action.

Payroll Manager

The hh2 role that grants access to the Vyki chat window. Only users with this role see the Vyki chat interface inside hh2.

Session / Conversation

A single back-and-forth interaction with Vyki. Sessions are retained for 24 hours.

Tool / Function Call

A specific action Vyki can perform — read a time sheet, update a time entry, send an outbound notification, approve time. Each tool runs through hh2's normal permission and validation rules.
