Who Vyki Is For
Vyki is built for construction payroll teams — but she touches everyone involved in getting time sheets ready for payroll. Your role in hh2 determines how you interact with her.

Important: Only Payroll Managers see the Vyki chat window inside hh2. All other roles receive outbound notifications only. If you expect to see the chat window and don't, contact your administrator to verify your role assignment. |
The Payroll Manager
The Payroll Manager is Vyki's primary user. She is the one running the conversation — asking questions, reviewing results, confirming actions, and keeping the pay cycle moving.
Everything Vyki does, she does on the Payroll Manager's behalf. Her permissions, her approval level, and her hh2 access define what Vyki can and cannot do in any given session.
What Payroll Managers Use Vyki For
- Finding employees who haven't submitted time
- Sending missing time and approval reminders without picking up the phone
- Reviewing time sheets for compliance issues before payroll runs
- Approving clean time sheets in bulk
- Updating time entries and daily comments
- Answering questions about time sheet status across crews, projects, or the full pay period
Everyone Else: Outbound Notifications
For every other role, Vyki works outbound. She sends notifications by SMS or email to the people who need to act — and she only sends them when action is still needed.
What Outbound Notifications Look Like
Employees and managers receive a short, plain-language message from your company asking them to take a specific action — enter time, approve a time sheet, or confirm their hours. The message does not reference Vyki by name. To the recipient, it reads like a standard company communication.
How Vyki Decides Who to Notify
Before sending any notification, Vyki checks whether it still needs to go out. A missing time reminder is only sent if the employee still has no time entered. An approval reminder is only sent if the time sheet is still pending at that approver's level. No one gets a notification for something they've already handled.

Note: Vyki delivers notifications based on the contact information on each user's hh2 record. Employees and managers without a phone number or email on file will not receive notifications. Keep contact records current. |
Multiple Payroll Managers
More than one Payroll Manager can use Vyki at the same time. Each user has their own independent conversation — there are no shared sessions or group chats. When Vyki runs automated tasks, her status summary goes to all active Payroll Managers.
