Construction teams can use ChatGPT, Claude and similar AI tools to draft RFIs and emails, sum up specs and contracts, write toolbox talks, clean up meeting notes and plan schedules. What you get out depends on what you put in. Tell the AI your role, give it the facts, and say what format you want. Then read what comes back before you use it.
Most contractors already have access. In RSM's 2025 survey, construction respondents using generative AI named ChatGPT (83%), Microsoft Copilot (51%) and Google Gemini (43%) as their top tools. Claude, made by Anthropic, is another common choice. The tips below work in any of them.
How to write a good prompt
A good prompt has four parts:
- Role. "You're a construction project manager on a commercial job."
- Facts. The job, the parties, the dates, the numbers.
- Task. What you want written, summed up or checked.
- Format. Email, bullet list, table, or under 150 words.

Three rules for what never goes in
- No personal data. Social Security numbers, bank details, pay rates tied to names, medical info.
- No confidential bids or contracts unless your company has approved the tool and the plan's data settings.
- No final numbers without a check. AI can misread a table or invent a figure. Check quantities, dates and dollars against the source.

Where general AI tools stop
ChatGPT and Claude are good with writing and summaries. They aren't connected to your ERP, your timesheets or your job cost data unless someone sets that up. So they can write the reminder text, but they can't see who's missing time.
